Hours:  8 hours per day / 260 days (12 months) per year as assigned

 

Wages:  Wage range $26.08 - $27.09 per hour / $54,255 - $56,354 per year

Qualifications:

  • Must have completed high school
  • Excellent public relations skills and ability to establish rapport with wide variety of individuals
  • Organizational abilities, prioritization, and attention to detail
  • Has the ability to work closely with others as well as independently without direct supervision
  • Has the ability to maintain professionalism, independence, and confidentiality
  • Must possess computer/technology/language skills and ability to master district-required software
  • Must be flexible & be willing to work in a fast-paced environment with multiple deadlines

Responsibilities:

  • Administrative & Office Operations: Oversees daily activities office operations including data entry, record maintenance, document preparation, correspondence, filing systems, and general office duties while ensuring accuracy, efficiency, and organization
  • Scheduling, Calendars & Event Coordination: Manages and maintains multiple calendars and schedules (district, activities, facilities, workers, officials, custodial support, and public-facing calendars) and coordinates logistics for athletic, fine arts, and district events throughout the year
  • Athletic & Fine Arts Eligibility Management: Maintains comprehensive student eligibility records; reviews academic and participation eligibility; manages physicals, testing, emergency action plans, and eligibility reporting; and ensures compliance with district and SDHSAA requirements
  • Financial Processing & Resource Management: Processes invoices, requisitions, contracts, rentals, admissions reporting, and supply orders; supports budgeting and accounting systems; and coordinates financial documentation related to athletic and fine arts programs
  • Communication & Stakeholder Relations: Serves as a primary point of contact for coaches, administrators, staff, students, parents, officials, volunteers, and external organizations through phone, email, in-person interactions, and public communications
  • Technology, Systems & Compliance: Manages digital platforms (SDHSAA/Bound, district systems, databases), integrates new technologies, maintains accurate online schedules and records, and ensures compliance with policies, handbooks, reporting deadlines, and regulatory requirements
  • Event Support, Recognition & Program Materials: Prepares programs, packets, contracts, passes, senior spotlights, awards, certificates, and recognition materials; supports orientations, banquets, tournaments, and special events; and assists with end-of-year and ceremonial activities
  • Confidentiality, Professional Standards & Policy Adherence: Maintains strict confidentiality of student, personnel, and district information while staying current on district and activities office policies and upholding professional standards in all responsibilities
